A Guide to Novata Email Notifications

What you'll receive and when

This guide outlines the key emails you may receive from Novata, why you’re receiving them, and when action may be required. Notifications are designed to keep reporting and collaboration moving efficiently while minimizing unnecessary email volume.

All notifications are sent to your registered email address and include direct links back to the Novata platform.

1. Report & Data Requests

1.1 New Report Request

When you’ll hear from us:
When an investor or partner (for example, a General Partner) requests a report from your organization.

What the email includes:

  • Who requested the report
  • The report name and due date
  • A direct link to access the report

Example subject line:
“Novata Report Request from [General Partner Name]”

*This notification is required and cannot be disabled.


1.2 Report Request Reminders

When you’ll hear from us:
As a report due date approaches or if it has passed.

What the email includes:
A reminder to complete or submit the report.

Example subject line:
“Novata: Reminder to complete your report requested by Data Requester”

*These reminders can be adjusted or disabled in your notification preferences via your Customer Success Team


1.3 Report Due Date Changes

When you’ll hear from us:
If the due date for a report you’re working on changes.

What the email includes:
The updated due date and a link back to the report.

Example subject line:
“Novata Report Request Due Date Change”

Notification preferences:
These notifications can be disabled via your Customer Success Team


1.4 Report Reopened

When you’ll hear from us:
If a report that was previously submitted or closed is reopened by the requester.

What the email includes:
Context on why the report was reopened and what action is needed.

Example subject line:
“Novata: A report has been reopened by Data Requester”

*These notifications can be disabled via your Customer Success Team 


1.5 Report Access Granted

When you’ll hear from us:
When you’re granted access to view or contribute to a report.

What the email includes:
A direct link to the report and confirmation of your access.

Example subject line:
“You have been granted access to a new report from [Organization Name]”

*This notification is required and cannot be disabled.


1.6 Partial Contributor Access

When you’ll hear from us:
When you’re assigned to contribute to specific metrics within a report.

What the email includes:
Which metrics you’re responsible for and how to access them.

Example subject line:
“You have been assigned to contribute to metrics in a report from [Organization Name]”

Frequency: If a user is bulk-assigned 4 metrics, they will receive one email notifying them of those assignments. If a user is assigned 4 metrics individually, they will receive 4 emails.


2. Requests to Update Data

2.1 Answer Change Requests

When you’ll hear from us:
If a data requester asks for clarification or an update to a submitted answer.

What the email includes:

  • What change is being requested
  • Why the update is needed
  • A direct link to complete the request

Example subject line:
“An answer change request has been created ([Organization Name])”

*These notifications can be adjusted or disabled via your Customer Success Team in notification preferences.

Frequency: Data requests are grouped together per user so if a user is assigned 10 change requests, they will only receive one email notifying them of the 10 change requests. These notifications are sent overnight, depending on the user’s timezone.


3. Collaboration & Visibility

3.1 Comment Mentions

When you’ll hear from us:
If someone mentions you in a comment on the platform.

What the email includes:
The comment and surrounding context.

Example subject line:
“[User Name] mentioned you in a comment on Novata”

Frequency: Users receive an email per comment


3.2 Shared Reports

When you’ll hear from us:
When someone shares metrics with you for visibility or review.

What the email includes:
A link to view the shared report

Example subject line:
“You have been granted access to view metrics for Company XYZ”

Frequency: If a user is shared a report from another GP, they will receive a notification about each report that was shared with them.


4. Energy & Automated Data (If Applicable)

4.1 New Energy Data Available

When you’ll hear from us:
When new energy consumption data becomes available via automated integrations.

What the email includes:
A notification that new data is ready to review.

Example subject line:
“New data available for your organization”

*These notifications are rate-limited (no more than once per week per organization).


4.2 Energy Credential Requests

When you’ll hear from us:
If someone requests access related to your energy provider credentials.

Example subject line:
“New request from [Email] for your energy provider credentials”


5. Account & Organization Updates

5.1 Account Activation

When you’ll hear from us:
When your Novata account is created.

What the email includes:
Instructions to activate your account and set a password.

Example subject line:
“Welcome to Novata”

*This notification is required for security reasons.


5.2 Requesting a User to a Data Provider

When you’ll hear from us:
If someone requests to add a new user to a data provider organization

Example subject line:
“[Requester Name] has requested to add a user to your organization”

Note: You will also receive notifications if that user request is approved or denied by the Data Provider organization admin.


6. Custom Messages from Investors or Partners

6.1 Custom or Scheduled Notifications

When you’ll hear from us:
If an investor or partner sends a targeted message or reminder through Novata.

What the email includes:
Context-specific information relevant to your reporting or data.

Note: Please keep in mind that depending on the volume of send and recipient’s organizational cybersecurity, emails may not arrive to them all at the exact same time. We are not responsible for users' firewalls blocking specific emails from Novata.


Managing Your Notification Preferences

CS can turn off certain notification types directly in your account settings, including:

  • Report reminders
  • Due date change notifications
  • Reopened report notifications
  • Answer change requests

Some notifications (such as new report requests, access grants, and account-related emails) cannot be disabled to ensure security and continuity.
